DETAILED FEATURE INFORMATION
Games
- Games are entered by 1 or more designated individuals or, optionally, the schools themselves. The system has evolved based on feedback from customers into a very efficient system. The interface to enter games is the same whether entered by schools or designated individuals. When you click "Add New Game", a window pops up with all pertinent fields. If you are to enter several games, there is a batch mode option to jump from one game to the next very efficiently. In fact, when you save one game with batch mode on, the next new game will initially appear will all of the same info as the just saved game. In most cases I've found, assignors enter games of an entire school at a time. This way, they only need change the date and opponent if they prefer to enter the full varsity schedule at one setting. Alternately, they could change just the level (V, JV, etc.) and the time and leave the date/opponent the same. The interface for the schools is the exact same except that the games go into a "Requested Games" list and not onto the official games page. The assignor then approves the game and moves it to the main list or deletes the request.
- There are several quality checks that can be run to look for duplications or games missing critical details (time, date, location, etc.)
- For assignments, the assignor puts a checkmark by each game they wish to assign and clicks "Edit Assignments". A window will open with the game and a drop down list of officials. That list will indicate who is fully available, who is working elsewhere for that date and who has indicated they're not available for that game time.
- Assignments are kept hidden until "published". That way, an assignor can move things around until they're happy with the assignments before anyone can see them.
- Officials respond to the assignments online. Assignors can respond on behalf of anyone (particularly those without web access). Once responded to, no change can be made without the assignors direct involvement.
- There are several reports track the officials responses, game conflicts (official on two games at overlapping times), availability conflicts, games needing assignment.
- Announcements can be automatically sent to a crew when a game is edited, postponed, or canceled.
- Announcements can be sent manually to all officials with games needing a response (or a partial list). Automatic notice to come.
- Game assignments can be sent to outlook/palm with all game details including partner/school contact info.
- Games can be sorted and filtered by several criteria.
- You can also post individual games for self-assignment.
- Schools can "approve" the correctness of the game online. There are several reports track the schools responses.
- Officials can enter their own availability and scratch list (of schools where they have conflicts).
Communication
- Game assignments through the web with various email notices regarding changes and new assignments.
- There is a very rich email entry feature. You can choose to send the email to several subsets of officials and or schools (or all of each). You can choose specific individuals from a list as well. It provides an integrated word processor that supports a wide variety of formatting options and resembles common word processors such as Word.
Payroll
- Online officials and schools invoicing with Quickbooks export support. This has several options and will save associations a lot of time and effort.
Customization
- Every page has customizable regions at the top and bottom where your association's administrator can add just about anything....this information is using that very feature.
- You can add your own custom pages.
- The logo in the upper left corner can be changed to your association's logo
- We can support custom URLs...Some of our customers already do so (www.pboa.org and www.gpvoa.org). They're alternative addresses to the generic RefTown site with the association pre-selected.
- Most pages with a textbox provide a word-processor like interface to allow full text customization.
Public Web Presence
- Publicly visible contact info with email addresses display in such a way that virtually eliminates spam for email address harvesting program
- Online registration ... with 3 forms currently available and will add your custom form if you desire. You can track who has and who has not register for the new season. If users re-register while logged in, all of there contact info is pre-filled in the form and any changes are automatically updated in the database. Non-members forms go into a separate list and can be moved to the main roster as desired.
Calendaring for events and meetings
- Meetings and events calendar with the ability for users to send the items directly to their outlook/palm software.
School and Officials Directories
- Schools directory and member directory with links to 3 different map servers, links to each schools games, website, and also a link to send the school info to your outlook/palm contact list.
- Members can list cell phones or extra email address and declare them private so that only assignors and designated association leaders have access to them.
- Member photos can be attached to the roster. The photo gallery view is visible by schools with activated accounts.
- Members and schools can have up to 3 email address so that info can be sent to work, home, or other.
- You can list the board members and/or custom committees.
- Downloadable schools and officials roster for printing or other use.
Forms and Documents
- You can upload a variety of documents for members to access. They can be organized into categories for easy access.
- Online forms:
- Ejection forms (currently an Oregon specific form but can add others by request)
- Evaluation forms (currently 3 different ones available but can add others as requested). They can also be designated as accessible to just an assigned group of evaluators and/or schools and/or all member officials.
User Account Management
- Users can manage their own contact info...notices of changes can be sent to a selected individual.
- There are a few preferences for users to set on how items are downloaded to their calendars.
Other
- Announcement forums for rules interpretations, situations, and news.
- Detailed permission management. You can enable an individual to have access to sending email or maintaining documents, rosters, photos, finances, etc.
- For any page, you can see how all users see it by disabling any extra privileges your account has. This is done through a link in the lower left corner of each page.
- Online voting for tournaments, board elections or any yes/no proposition.
